Prerequisites
Before getting started, please make sure you are an admin of your Workday instance or an admin shared their access with you.
Set up sign-up emails for candidates
- Log into your Workday instance, and search for Business Process Definitions and click on the search entry:
- Confirm the dialog by pressing OK.
- Find the Job Application business process definitions. Open the menu in the Definitions for Business Objects column and click on Business Process > Add Notification. Confirm the dialog that opens.
- Set up the notification by following the steps below.
- Override Email Template: Select the Email Template you want to override (e.g. Job Application Email Template).
- Tick the Do Not Include Notification Details Link box.
- For Triggers:
- Under On Entry: add the stage you want to use to trigger the email, for example "a - Job Application".
- For Recipients: Under Groups add Candidate as Self.
- Under Message Content configure the desired message. Make sure the Body includes the Field Create Candidate Home Account URL, which contains the link to set up their Workday account.
- Click OK.
Now all candidates that enter the trigger stage will receive the configured email, including the link to create their Workday account.
