Prerequisites
- Ensure you are a d.vinci user with the Administrator role
To verify that you have sufficient permissions, follow these steps:
- Click on Menu
- Verify that you can see Master Data (Stammdaten in German)
Instructions
Set up Application Portal
- Find out the domain your d.vinci instance is hosted on. You can see it in your browser's address bar when you're logged into d.vinci:
- Enter the domain into the connection flow and click Continue:
- Click the Menu (MenĂ¼ in German) button in the d.vinci sidebar:
- Find and select the Application Portals (Bewerbungsportale in German) option (you can use the search to find it):
- On this page, click the Create (Anlegen in German) button in the top right:
- In the connection flow, we will now show you two values (the Name and URL Path):
- Copy and paste both of these into the right fields in d.vinci:
Note: Do not enter the values that are shown above. In your connection flow, you will see different values. Copy and enter your own values. -
Click Continue in the connection flow to view the remaining settings:
- Fill out all the remaining fields as described in the connection flow:
- Configure the Organization Unit and Job Publication Channel based on which jobs you want us to sync.
Note: This step is extremely important, as it decides which jobs are exposed to Kombo. Please make sure you select the right publication channel that matches the jobs that you want us to read from the integration. - For Layout, select the first available option
- For Languages, select the language you want us to sync your jobs in. Once selected, make sure you also select the language under Primary Language.
- Configure the Organization Unit and Job Publication Channel based on which jobs you want us to sync.
- Select No for Enable Job Advertisement and Fixed Application Questionnaire.
- Select a default Application Questionnaire for your jobs
- Click "Continue" in the connection flow to go to the next step:
- In the connection flow, you will now see credentials for setting up the Application Import.
Select Secured with Tracking Status, and enter the corresponding Application Import Username, and Application Import Password
Note: Do not enter the username "demo". You will get shown a different username. - Scroll down until Data Protection Layer for Embedded Videos Enabled, and select No
- Scroll to the bottom and click "Create":
- Click "Continue" in the connection flow to go to the next step:
Set up application statuses
d.vinci requires assigning special statuses to application stages to allow us to track the status of applications throughout your hiring process.
- Open the menu
- Find and open the Application Statuses (Bewerbungsstatus in German) page
- Scroll down to the items marked with Final status
- For each Final Status, click on the status and follow these steps:
- Click the small pencil icon next to Properties (Eigenschaften in German):
- Scroll to the bottom of the page and open the Additional Information for External Systems section
- For the Tracking Status, enter either K_REJECTED or K_HIRED depending on the status
- Finally, click Update at the bottom:
- Click the small pencil icon next to Properties (Eigenschaften in German):
- Optionally, for any other statuses for which you want to track the outcome as pending, set the value of Tracking Status to be K_PENDING.
- Now go back to the connection flow and click Continue:
Setting up the User Role
- Click on Menu
- Open the Roles (Rollen) page
- Click on + Role in the top right corner
- Fill out the role exactly as described in the connection flow.
- Choose any name for the role, for example, Acme Integration.
- Select Yes for User Role.
- For Security Level, select Normal.
- For Product, select d.vinci Applicant Tracking.
- For Permissions, select:
- Applications | view/edit/create
- Application Statuses for Role "Human Resources (Standard)"
- Scroll down and click on Create
Setting up the API User
- Click on Menu
- Open the Users (Benutzer in German) page:
- Click on the Gear in the top right corner, then click on + API User
- Fill in the required fields marked with an *. You can use example data as shown below. The two important fields are:
- Username. Choose a username which describes the integration user, such as Acme API User.
- Roles. Choose the role you created in the previous step.
- Click Create. A popup will show you the API Token
- Fill in your details in the connection flow and click continue
Set up Source
If mandatory for this integration, you'll need to configure a source in d.vinci to see where new applications are coming from. In that case, you will see a screen like this
- Click on Menu
- Open Master Data (Stammdaten in German)
- On this page, find and open the Sources (Quellen in German) option
- Click on Sources. On the sources page, click on the + Source button in the top right corner:
- Enter the name displayed in the connection flow, and click Create
- After creating it, open the source again by selecting it from the list
- Follow the instructions in the connection flow, to either copy the internal name into the connection flow, or copy a preset name from the connection flow into d.vinci. Both variants are described below:

Copying the internal name into the connection flow
- Identify that you need to copy the internal name from d.vinci
- Select and copy the value in d.vinci
- Paste the value inside the connection flow, and click on Set up integration
- Identify that you need to copy the internal name from d.vinci

Updating the value in d.vinci
- Identify that you need to copy the value from the connection flow
- Click on the pencil icon to edit the source properties
- Update the value to match the connection flow, and press on update
- Complete the connection flow
